SAMPLES: E-NEWSLETTER

PURPOSE

E-newsletters vary widely in their audience, mission, content and style.  They are used to communicate or solicit information, build loyalty or create a sense of community.  There are advantages over print newsletters in that they can be produced and sent out more quickly and inexpensively.

For internal audiences, e-newsletters are sent from management to the following constituencies:

  • In the corporate arena (underline "In the corporate arena") to employees: for aticulating policy, announcing product or service updates, educating, training, motivating,inspiring, increasing loyalty and acknowledgeing performance and results.

  • In the nonprofit arena to board members, volunteers and staff: from board chairs, fund-raising campaign chairs, committee chairs and presidents; for reporting, motivating and acknowledging.

  • In the affinity group arena - clubs, camps, alumni associations, neighborhood groups, religious groups, special interest groups and sports teams - to members: for informing about events, policies, expectations, campaigns, outcomes and accolades.

For external audiences, e-newsletters are sent from marketing and institutional development departments for the following reasons:

  • In the corporate arena: to announce a product, service, or guideline to consumers.

  • In the nonprofit or educational arena: to raise money from prospective donors and recruit volunteers from members and prospects.

The advantage to the type of e-newsletter that follows is that it is text alone, without graphics. Its simple format aids the eye in sweeping over the page quickly and for that reason is more likely to be read.  It should be short and interesting enough to make the reader look forward to the sense of community it instills. Some believe that the less rigid and imposing the copy - less filled with graphics and other non-textual busyness such as highlighted headings and sidebars - the less the e-newsletter demands of the reader and the more inviting its tone appears, thereby successfully achieving the purpose for which it was written and sent.

The purpose of this e- newsletter is to communicate news updates, enhance team-building among staff and volunteers, engage in stewardship to volunteers, relay training tips from coach to kids via parents and gather information from various team constituencies.

From the Desk of Susan Dobbins, Chair of Volunteers:

Thanks to all of you for signing up again this year to help the Pumas
have their best season ever! Without your hard work, creativity and
sense of fun, I would not be here, nor would our team do so well.
Please don't hesitate to call me should you have any questions or insights about fall's activities.

We are in the process of compiling a new handbook about job duties and scheduling that we will have for you soon.

Coach Ross has informed me that this year our help will no longer be
needed with Gatoraid for the kids as the team has grown and his budget has allowed him to purchase the long-anticipated cooler for the back of the truck. Great news! He wanted me to be sure to pass along to each of you his thanks for all we have done in the past.

Please read the schedule below for your assigned day and make sure you swap with someone if you have a conflict.

My appreciation goes to Molly and Angie for their willingness to serve as team captains. They will ask for your help in periodic tasks such as clean-up and the bake sale that we hope will offset our initial inventory costs. Angie has offered to put out a sign-up sheet for what you'll be baking, so look for her at the booth at the first meet.

I ask for your help in one additional way and that is to recruit any
new moms, or dads, to join us this year. We need their help and I know you will tell them how much fun we have cheering the kids on. Please tell me when you speak with them so I can welcome them and give them further instructions. My new e-mail address is:

Letter from the Coach:

Thanks, parents and friends, for helping us out this fall by giving your time and spirit to the team. Both are invaluable and I want to say that at the beginning of the season.

The Girls' and Boys' teams have been training hard, as you know, and you have been a key part of that training. There is extra momentum this year to excel, given our new division placement. Though there was some disappointment last spring when it was announced, I believe the teams have everything under control and are seeing this change as an added incentive to giving their best.

Should you have any concerns that need to be brought to my attention, I hope you will not hesitate to e-mail me at the school office: jseebring@chasin.edu. Again, all my thanks for cheering us on in all the ways that you help me, the team, and your sons and daughters. We have a surprise planned for late September that I would like you to be in on, and I will be getting back in touch with you closer to the time.

Training Tip from Coach John:

Be sure your guys and gals are well hydrated. A bit of Gatoraid or Poweraid in water bottles is often better than water alone to offset the weakness from dehydration that can come with summer heat and long runs. Look out for chapped lips and cramped muscles, a sign of dehydration.
