SAMPLES: LETTERS

There are many types of letter content available to companies and agencies for sales, partnership-building, fund-raising solicitation, stewardship, or recruiting purposes.

The two sample letters shown below are: a letter to develop a corporate partnership; and a letter to a campaign donor to acknowledge a gift - a demonstration of charitable giving stewardship.

Mr. William Grouper
Global Digital Technology Systems, Inc.
1603 Park Avenue
28th Floor
New York, New York 10003

Dear Bill:

Our meeting on July 31, 2003 at South Street Diner following the trade show was a wonderful beginning to our dialogue about how our two companies might partner in the years ahead.  I look forward to investigating this opportunity with you, in terms of integrating our respective services and products.

The board of Grover Call Center Outsourcing, Inc. welcomes the objectives we discussed.  I have presented your talking points to our executive committee, which we agreed was the next step for each of us towards developing a working relationship.  Each of your points were received most enthusiastically, particularly your endorsement of Grover Call Center Outsourcing, Inc. as the sole distributor for reselling your call center products in the Southeast.  As you know, that has been our chief priority since our recent expansion.

I'd like to have our product developer in on the conference call we talked about for early next week. I'll check with his schedule and give you a call to find out which date is best for you.

Please do not hesitate to get back to me should any other strategies enter your thinking.  My phone number is 212-893-4234 and my e-mail is mwages@groverccoutsourcing.com.  I am enclosing a booklet about our new services, some of which we did not have time to discuss.  I look forward to hearing your thoughts about which ones might serve as a match for your products, and most importantly, to doing business with you.

Sincerely,

Michael Wages

Sample II - Campaign Gift Acknowledgement Letter

The Porch Swing Writing School
33 Seagull Lane
Atlanta, GA 30303

August 2, 2003

Ms. Gracie Grandhope
7 Good Book Lane
Flowery Branch, GA 39817

Dear Gracie,

Thank you, tremendously, for your most generous gift of $2008.00 to the first Annual Giving Campaign of our Porch Swing Writing School.  It has been recorded in honor of your grandson and our very fine student, Robert, as you wished.

Your generosity is only exceeded by your creativity in giving this particular amount to the campaign, to match the year of Robert's anticipated graduation from high school.  I am sure it lends motivation and inspiration not only to Robert and other students in our writing program but also to scores of donors just beginning to hear about our vision.

In fact, your donation has enabled us to launch the Gold Star Gift Club, now the top gift category! We will be able to purchase enough notebooks, pencils, gold stars and lemonade mix for the students for months to come.  Thank you, Gracie, for setting such a fine example to all of us who care so much about our exciting new school.

Robert has proved himself a gifted writer to students in the Saturday program and I am thrilled that he has to you, too, through his birthday poem to you.  Thank you for sharing it with us.  We are thrilled that he is deriving so much pleasure from writing on his own!

My heartfelt thanks, too, for your volunteering to drive some of the students to school.  Many would not be able to attend otherwise.  I have heard on more than one occasion how much they love hearing your stories about growing up in Minnesota and writing in the tree house.  I hear them told a little differently each time but in each telling there is such energy and wistfulness that I know you have given the students a big part of yourself in a way that will start their imaginations spinning!

Lastly, I would be most happy to show George Hoskins around the school.  We always welcome corporate sponsors and having Prestige Printing on board would be a boon for us.  They have been instrumental in supporting other programs of which I have been a part. Thank you for bringing him on board.

Thank you again for all that you do and all that you give to us in so many ways.

Sincerely,

Mary Ann Siegel
Founder and Executive Director
